In-Person Workshop Addendum

Version 2026.08.07 · This addendum supplements the Teacher Agreement and applies to all workshops with delivery_mode of in_person or hybrid.

This addendum must be accepted before a teacher can offer any in-person workshop.

1. Background Check Requirements

Teachers offering in-person workshops must have a clear Checkr background check (verification_status = 'verified') on file. The background check must include:

  • National criminal records search
  • Sex offender registry search (Dru Sjodin National Sex Offender Public Website)
  • SSN trace + address history
  • County criminal records search for all addresses in the past 7 years

Background checks are valid for 2 years. Teachers must re-consent to a new check before expiration. A lapsed check automatically pauses all in-person workshops.

2. School-Specific Requirements

Schools may impose additional requirements beyond KidsCode Gift's baseline:

  • State-specific fingerprinting (e.g., NY DOE fingerprinting)
  • Teacher licensure or substitute certification
  • Mandated reporter training
  • School-specific volunteer agreements

The school verifies what the school requires. KidsCode Gift does not certify teachers for school-specific licensure — the school is responsible for its own compliance.

3. Supervision & Student Safety

  • Two-adult rule: At least two adults must be present at all times during in-person sessions. This may include a school staff member.
  • No 1:1 contact: Teachers must never be alone with a single student in a closed room. If a student needs individual help, move to a visible area.
  • Bathroom policy: Teachers do not escort students to the bathroom. School staff handle all bathroom breaks.
  • Pickup: Teachers do not transport students. Pickup is handled by school staff or authorized guardians.

4. Insurance

Teachers offering in-person workshops at schools must carry general liability insurance with minimum coverage of $1,000,000 per occurrence. Proof of insurance must be provided to the school before the first session. KidsCode Gift does not extend its insurance to cover teacher activities at school premises.

5. Incident Reporting

Any incident involving student safety, injury, or misconduct must be reported within 24 hours using both:

  • The school's internal incident reporting process
  • The KidsCode Gift safety report form at /safety

Teachers are mandated reporters in most jurisdictions. If you suspect child abuse or neglect, you must report directly to your state's child protective services hotline. State hotlines are listed on our safety page.

6. Pricing & Payment

In-person workshops may have different pricing than online workshops. The platform fee for in-person workshops is a flat rate (see /teach for current rates), not a percentage commission. Schools are invoiced directly; teachers receive payment via Stripe Connect as with online workshops.

7. Cancellation & Weather

If a school closes due to weather or emergency, sessions are rescheduled at no penalty. If a teacher cancels an in-person session with less than 24 hours notice more than twice in a semester, the school may request a replacement teacher.

8. Acceptance

By accepting this addendum, you acknowledge that you have read, understood, and agree to comply with all requirements above. You understand that violation of any provision may result in immediate suspension of in-person workshop privileges and potential termination from the marketplace.
